Brookfield Properties currently has a Facilities Coordinator role available at Portside Wharf, Brisbane .
The key tasks that this role will be responsible for include, but are not limited to :
Issue purchase orders, upload and process supplier invoices and contract payments, ensuring costs are correctly allocated and tracked
Ensure all recoverable charges are coded correctly, approved, raised and processed alongside relevant fixed charges
Produce invoice and purchase order reports are required
Assist with the preparation of monthly, quarterly and annual reports / reconciliations for terminal, retail and building management schemes
Provide front of house relief as required, including management of mailed items
Coordinate consumables stocktakes, re-ordering, goods receipt etc.
Process site receipts
Maintain accurate documentation and ad hoc reporting as required
Provide support with all systems-based site administration tools (e.g. Coupa, Supplier onboarding, SASSI, BENS, BServe etc)
Assist with preparations for annual audit process including Gospel, ASEC, QFES, Office of Transport Security and ABF
Assist with gathering tenant / customer compliance documentation (e.g. Kitchen Exhaust Certificates, Port of Brisbane Work Permits, Harbour Master Approvals etc).
Regular communication with key stakeholders regarding operational matters and addressing queries as required
Maintain before and after ship call records and reports (e.g. run sheets, utilities usage, adhoc requests, etc.)
Assist with contractor inductions
Maintain up to date tenant contact details listing
Qualifications and Experience :
Proven experience in a similar role within a facilities, operational, property or corporate environment.
Knowledge and experience in the use of web-based portals and operating software such as Coupa / SASSI, MRI etc.
Proficiency in Microsoft Office applications including Excel, Word, Powerpoint and Outlook
Successful completion of industry-based courses, certificates and / or tertiary level qualifications.
