About the role
Reporting to the General Manager, this casual position will be responsible for creating and faciliating all aspects of document control for Mutual Marketplace to ensure that all team members have appropriate access to controlled and up to date documentation and filing.
This position is also responsible for the development of Mutual Marketplace's document control processes and procedures, provides advice on document control practices to all team members and supports the administration of document control systems, including audits.
The core responsibilities of the role includes :
Review and audit the current document management / control systems;
Facilitate a workshop with management to assess key deliverables, build a timeline for completion and execute on key performance indicators;
Meet with team members to determine their current document management / control systems;
Create a detailed and compliant Document and Records Management System within SharePoint;
Create a Document Management Process and Procedure;
Create and implement a Policy to ensure ongoing document management compliance;
Create templates for future use;
Identify opportunities to improve the provision of document control and document management systems;
Act as subject matter expert for document control and management to the business;
Create consistent numbering and naming protocols for all documents and records.
Archive and / or delete documents where necessary;
Update documents where necessary;
File documents within current Mutual Marketplace's filing platforms;
Provide coaching and advice to all team members on document control issues and coordinate the management of all documentation and data;
Provides training to team members in the use of the document control systems.
Benefits and perks
The role will pay $30.00 per hour plus superannuation. We are looking for someone who can work 25 hours per week and we are flexible on how these hours are worked.
Skills and experience
The successful candidate will have the following :
Proven work experience as a Document Controller or similar role.
Excellent knowledge with SharePoint and MS Excel and all other MS Office suite products.
Experience with SAP Ariba (considered desirable).
Solid understanding of document control methods and analysis.
An analytical mind with excellent problem-solving abilities.
Proficient typing and editing skills.
Excellent Data organisation skills
Excellent Project Management skills
Excellent attention to detail.
You will also demonstrate good communication skills coupled with the ability to build and maintain strong working relationships and you are passionate about delivering customer focused services.
