  • About the opportunity Open to University of Sydney employees only The University of Sydney is welcoming applications for an experienced Administration Officer to join the School of Mathematics and Statistics, within the Faculty if Science.

    The incumbent will report to Jessica Cornock, Operations Manager of DARE ARC Centre, covering an array of duties including project support to the DARE Centre as well as the full suite of professional executive support services to the Centre’s Director, ensuring the specific needs and day-to-day requirements are managed in a highly efficient and effective manner.

    As the first point of contact representing the Director, this role requires extensive administrative and organisational skills in order to manage detailed operational activities on a day-to-day basis, including supporting the development and delivery of a range of events and engagement initiatives with internal and external researchers and research groups.

    Key responsibilities will include :

  • providing a broad, high level professional executive support to the Director and effectively manage the general day to day office operations and administration activities of the Centre
  • building and managing effective rapport with key stakeholders and staff across the University and external stakeholders
  • providing event and function support to the leadership team to deliver engagement events, conferences, workshops and internal social events
  • managing the gathering and preparation of project data, information, analysis and reporting to support project organisation and establishment and student onboarding
  • maintaining and developing project planning material for a dedicated project, preparing project charters, status reports, documenting timelines, preparing charts, tracking activity, monitoring budgets and highlighting milestones as required
  • providing Financial Management Support for the Directors corporate purchases including monthly reporting (through Concur Expense) and utilising knowledge of the centre’s project codes and financial policies

  • has proven proficiency in time and workload management with demonstrated ability to prioritise effectively and manage multiple tasks

  • demonstrate excellence in verbal and written communication skills, with experience in handling a wide range of enquiries whilst providing high level customer service
  • excellent administrative, problem solving and analytic skills, coupled with a general understanding of the project life
  • proven cycle, project documentation and monitoring, project standards and methodologies
  • well-developed negotiation, conflict resolution, relationship building and influencing skills
  • proven ability to establish and maintain excellent working relationships
  • excellent interpersonal and relationship building skills with the ability to engage effectively with a range of stakeholders whilst ensuring a strong client focussed outlook
  • ability to work both independently and as part of a team, taking initiative and exercising sound judgement in resolving matters that may arise as part of normal daily work
  • accuracy, attention to detail and highly organised. Planning, analysis and communication skills together with the ability to work according to strict deadlines and manage various demands
  • demonstrated advanced computer skills, including Microsoft Office suite, with extensive diary management experience and use or understanding of financial systems

    The DARE Centre is a collaborative research centre led by the University of Sydney in partnership with the University of New South Wales and the University of Western Australia and funded under a five-year grant from the Australian Research Council in partnership with industry and government.

    Our Partner Organisations represent some of Australia’s leading organisations directly involved in natural resource use and management.

    will train PhD candidates in world leading data science through an innovative, collaborative program between industry, government and academia.

    All students will undertake a cohort-based training program in data science prior to selecting a specific data science project and domain.

    Data science research projects will be applied against real world challenges through an industry placement program with one of our Partner Organisations.
