Job Description

The Patient Service Assistant is the first line contact for patients therefore the main purpose is to provide best practices and highest standards for patients’ engagement at the site.

Primary function is booking of patients and confirming the booking as required. Ensure that the diary management system is accurate and up to date at all times.

Responsible for reimbursement of patient study expenses and payments.

  • Accountable for professional direct contact with patients and visitors (welcoming,information, appointments planning, patient guidance, gathering and confirming data, maintaining health documentation, etc.)
  • Accountable for professional indirect / telephone contact with patients and visitors (accepting / execute the calls : welcoming, information, appointments planning, gathering data, etc.)
  • Promote AES through effective communication, body language and pleasant manner
  • Telephone contacts with patients to remind / confirm visits
  • Take calls and transfer to the correct person, take messages and deliver it promptly if they are not available
  • Presentable, safe and clean reception area to increase the patient and visitor experience.
  • Assist patients with completion of forms if and when required
  • Accurate data entry and visits completion in Clinical Conductor (Synergy) & Cognos reporting
  • Booking of different types of visits, external appointments, transport, etc
  • Prepare patient source documentation for visits
  • Collect and track patient notes, lab results and questionnaires to facilitate prompt reviewing by clinical staff
  • Set up of patient services files, ensuring sufficiency and accuracy of versions of appropriate documentation.
  • Ensure that the diary management system is accurate and up to date at all times
  • Responsible for reimbursement of patient study expenses and payments.
  • Responsible for petty cash management
  • Responsible for photocopying, faxing, postal activities, patient refreshments
  • Job Qualification

    Education / Qualifications :

  • Further Education / Diploma / Certificate of vocational training / A Levels
  • Excellent 1+ years’ experience that provide the ability to perform the job
  • Excellent Interpersonal skills
  • Good working knowledge of Business English
  • Appropriate MS Office skills, word, excel with the ability to create documents
  • Good oral and written communication skills.
  • Attention to detail
  • Accept ownership of mistakes and errors and rectify
